Please read the following information carefully before making your reservation.
Agreement with Sakura Expedition
The terms and conditions set forth below (the “Terms”) constitute the entire agreement between Sakura Expedition (“Sakura,” “we,” or “our”) and you, the client. Under this agreement, any reference to “Sakura” also refers to our directors, employees, representatives, agents, and affiliates.
Reservations
To secure your space or tour, each client must provide the following complete information for all participants:
Full name as it appears on the passport
Passport number, nationality, age, and gender
Indicate if you are an adult or a student (students must be under 24 years old and have a valid university ID)
Date and type of tour booked
Information on dietary restrictions or preferences (vegetarian, allergies, etc.)
A deposit of USD 200 per person is required, payable by credit card, online payment, Western Union, MoneyGram, or PayPal (plus transfer fees), and must be made at least 61 days prior to the trip.
The remaining balance must be paid no later than one day before the tour departure.
Payments
The remaining balance may be paid using the following methods:
Credit card (Visa, Mastercard, Amex, Diners), check, or money order
For payments made within 5 days of the trip, only credit cards or previously authorized payment methods by Sakura Expedition will be accepted
If payment is not completed on time, the reservation may be considered canceled
No passenger will be allowed to join the tour without full payment.
Single Supplement
All accommodations are based on double occupancy. If a solo traveler requests a private room or no roommate is available, the corresponding single supplement will apply.
Client Cancellations
Cancellations must be submitted in writing. The following charges will apply:
91+ days before departure: USD 50 per person + non-refundable provider costs
Between 31–60 days: 50% of the total trip cost
30 days or less: 100% of the total trip cost
No refunds will be issued for unused services. Certain tours, such as the Inca Trail, may have additional cancellation policies.
Prices and Surcharges
In case of unforeseen increases in operational costs (e.g., transportation, currency fluctuations, taxes), Sakura Expedition reserves the right to apply a proportional surcharge. If costs decrease, we will pass the savings on to the client.
Airlines
Sakura Expedition is not responsible for the acts or omissions of airlines. Alternate airlines may be used, and aircraft type or seat assignments are not guaranteed.
Trains to Machu Picchu
Due to Machu Picchu conservation regulations:
Sakura Expedition is not responsible for train service changes, route modifications, or cancellations.
Delays
Expenses caused by delays outside of Sakura Expedition’s control (weather, transport, health issues, etc.) are non-refundable.
Changes by Sakura Expedition
Reasonable changes to the itinerary may be made for the safety or comfort of the group. These changes will be communicated as soon as possible. No compensation will be given for changes made under these conditions.
Changes by the Client
Changes made 60–30 days before the trip: USD 30 per change
Changes made 29–15 days before the trip: USD 50 per change
No changes are allowed less than 14 days before the trip
Authority During the Tour
Clients must respect local laws and follow the decisions of the guide. If a client endangers the group or disrupts the trip, they may be removed from the tour without a refund.
Health and Fitness
You must report any medical conditions at the time of booking. The guide has the authority to exclude any participant who may pose a risk to themselves or others. No refunds will be given in such cases.
Luggage
Sakura Expedition is not responsible for damage to or loss of luggage during the trip.
Travel Insurance
We strongly recommend obtaining travel insurance that covers:
Accidents, cancellations, medical emergencies, lost luggage, etc.
Travel Documentation
Clients are responsible for obtaining a valid passport (with at least 185 days of validity before travel), visas, permits, and any necessary medical or vaccination certificates.
Claims
Claims must be submitted in writing within 5 days after the end of the tour. Claims submitted after this period will not be considered.
Arbitration
Any disputes will be resolved through binding arbitration in Peru.
Limitation of Liability
Sakura Expedition’s maximum liability is limited to the cost of the tour. We are not responsible for indirect or consequential damages.
Severability
If any part of these Terms is deemed invalid, the remaining provisions shall remain in full force and effect.
Entire Agreement
This document overrides any previous agreements between you and Sakura Expedition.
Modifications
Changes are only valid if in writing and signed by both parties.
Interpretation
Nothing in this agreement shall be interpreted against either party.
Mandatory Health Insurance
Clients must have appropriate medical insurance covering: medical care, evacuation, and loss of belongings.
Assumption of Risk
Clients acknowledge that they are participating voluntarily and accept the inherent risks of adventure travel.
Disclaimer
Sakura Expedition acts only as an intermediary and is not responsible for third-party services such as hotels, transportation, or recreational activities. Clients understand and accept that adventure travel involves risks.
Release of Liability
By signing this agreement, you release Sakura Expedition from any claims related to incidents occurring during the tour, to the fullest extent permitted by law.
This itinerary is subject to change without notice due to weather, strikes, flight delays, or other force majeure events.
During the rainy season (October to April), itinerary adjustments may be necessary.
We recommend acclimatizing above 3,000 m (9,800 ft) before your trip, drinking plenty of water, and bringing altitude sickness medication.
