Terms and Conditions
Terms and Conditions
Important information for our travelers
Thank you for choosing Sakura Expedition to discover Cusco and other destinations in Peru.
These Terms and Conditions set out the rules that apply to inquiries, bookings, purchases and the delivery of the tourism services offered by Inversiones Turísticas Sakura Expedition E.I.R.L., under the trade name Sakura Expedition.
We recommend reading this document carefully before making a booking. By booking or purchasing any of our services, the customer declares that they have read and accepted these Terms and Conditions, as well as any specific conditions that apply to the service purchased.
1. General information
Inversiones Turísticas Sakura Expedition E.I.R.L., with Tax ID (RUC) No. 20600271319 and trade name Sakura Expedition, is a company dedicated to organizing, selling and providing tourism services in Cusco and other destinations in Peru.
Through its digital platform, Sakura Expedition offers a range of tourism experiences and services, including half-day and full-day tours, trips to Machu Picchu, the Inca Trail, mountain treks, private tours, travel packages and combined experiences.
Services may be provided directly by Sakura Expedition or, where applicable, through duly contracted tourism suppliers for certain components of the trip.
The specific conditions of each service, including itinerary, duration, inclusions, exclusions, schedules, prices and specific requirements, will be provided to the customer before or during the booking process.
2. Acceptance of the terms and conditions
Making a booking through the website, email, WhatsApp or other official Sakura Expedition channels implies acceptance of these Terms and Conditions.
The customer declares that the information provided during the booking process is true, complete and up to date.
When a booking includes several travelers, the person making the booking will be responsible for correctly providing the requested information for all participants.
If the customer has any questions about the conditions of a service, they should contact Sakura Expedition before making the payment. Our team will be available to provide information and clarify the applicable conditions.
3. Bookings
To request a booking, the customer must complete the form available on our website and provide the information needed to organize the service correctly.
Depending on the type of experience, we may request:
- Full name of each traveler.
- Nationality.
- Passport or ID number, where applicable.
- Date of birth or age, when needed to determine rates or requirements.
- Type of trip (shared or private).
- Planned travel date.
- Selected service.
- Hotel or pick-up location details.
- Phone number and email address.
- Information about dietary restrictions or preferences.
- Relevant information about physical conditions or special needs that may affect the safe delivery of the service.
The information requested will depend on the characteristics and requirements of each service.
A booking will not be considered definitively confirmed until Sakura Expedition has verified availability and sent the customer the corresponding confirmation by email.
Submitting a booking request does not, by itself, guarantee the availability of the service.
4. Booking confirmation
Once the booking request is received, Sakura Expedition will verify the availability of the requested service and inform the customer of the conditions required to complete the booking.
As a general rule, every booking must be paid in full (100%) to be confirmed. The final confirmation of the service will be sent to the email address provided by the customer once availability has been verified and the corresponding payment has been received.
Exceptionally, when the nature of the service requires the advance purchase of entrance tickets, permits, train tickets, transportation, accommodation or other services needed to secure the booking, Sakura Expedition may authorize a partial payment, provided it is greater than 50% of the total value of the service and covers the costs required to manage and secure the components of the booking.
The option of making a partial payment will be evaluated and authorized by Sakura Expedition on a case-by-case basis. A partial payment does not mean the remaining balance can be paid later without conditions; the customer must pay the outstanding amount within the deadline set by Sakura Expedition.
The booking will not be considered confirmed until Sakura Expedition has received the agreed payment and sent the customer the corresponding confirmation by email.
The payment conditions and the deadline for paying any outstanding balance will be communicated to the customer before the booking is completed.
5. Payment methods
Depending on availability and the conditions of each transaction, Sakura Expedition accepts the following payment methods:
- Visa.
- Mastercard.
- American Express.
- Diners Club.
- PayPal.
- Bank transfer.
Transactions made through certain payment systems may be subject to fees, administrative charges or conditions set by the corresponding financial institution or platform.
When a fee applies, the customer will be informed before making the payment.
Once the payment is made, Sakura Expedition will send the corresponding confirmation to the email address provided by the customer.
6. Prices and included services
The prices published on the website correspond to the services and conditions described for each experience.
Each itinerary will indicate, as applicable, the services included and not included in the price.
The price may vary depending on:
- Type of service.
- Availability of entrance tickets or permits.
- Transportation or accommodation category.
- Additional services requested.
- Conditions set by external suppliers.
Additional services that are not part of the original booking may involve an extra cost, which must be communicated to and accepted by the customer before it is booked.
7. Payment conditions and outstanding balance
When the customer has made only a partial payment, the outstanding balance must be paid within the deadline indicated in the booking confirmation.
The deadline may vary depending on the service booked.
For services that require the advance purchase of entrance tickets, permits, train tickets, accommodation or other components, failure to pay the balance within the established deadline may result in the loss of the booking or the inability to guarantee certain services.
No traveler may begin a service while there is an outstanding balance, unless expressly authorized by Sakura Expedition.
8. Changes requested by the customer
The possibility of making changes depends on the nature of the service booked and the conditions of the components included in the booking.
8.1. Traditional tours
For services such as the Cusco City Tour, Rainbow Mountain, Humantay Lake, Sacred Valley, South Valley, Maras and Moray, the Textile Tour and other similar services that do not require the advance purchase of entrance tickets, permits, tickets or other services subject to change restrictions, Sakura Expedition may allow changes to traveler details or dates, provided that:
- The change is requested at least 10 days before the originally booked date.
- There is availability for the new requested date.
- The service does not include previously purchased components that cannot be changed.
- The change does not generate additional costs from suppliers.
- The request is made in writing through Sakura Expedition’s official channels.
Changes that meet these conditions may be made without an additional penalty.
When the requested change involves a price difference or generates additional costs from third parties, these must be covered by the customer, subject to prior notice and acceptance.
8.2. Services with entrance tickets, permits, tickets or advance reservations
When a booking includes entrance tickets, permits, train tickets, accommodation, transportation or other services purchased or confirmed in advance, any possible changes will be subject to the conditions set by the corresponding authority, supplier or operator.
Sakura Expedition cannot guarantee changes when the supplier or responsible entity does not allow changes to the date, name, holder, schedule, route or any other information associated with the service.
If a change is allowed, it will be subject to:
- Availability.
- Supplier conditions.
- Deadlines set by the supplier.
- Applicable penalties or charges.
- Any resulting fare differences.
Any additional cost resulting from a change requested by the customer will be covered by the customer.
8.3. Machu Picchu
Bookings that include Machu Picchu entrance tickets are subject to the conditions established by the competent authority.
Once the ticket has been purchased and issued, requests from the customer to change or cancel the date, traveler name, time slot, circuit, route or any other information associated with the ticket will not be accepted when the responsible authority does not allow such changes.
As an exception, Sakura Expedition may arrange the correction of minor errors in personal details when the regulations and procedures of the corresponding authority allow it; for example, updates due to a passport renewal or loss.
Any correction will always be subject to the conditions and procedures of the competent authority and does not guarantee that the booking can be changed.
8.4. Inca Trail
Because the Short Inca Trail and the Classic Inca Trail require advance management of permits, spaces and other associated services, their change conditions are particularly strict.
Once the corresponding permit has been confirmed and processed, changes to the date, traveler name, holder, route or any other information associated with the permit will not be accepted when the competent authority does not allow them.
Likewise, an Inca Trail booking cannot be canceled by the customer once the permit and the associated non-refundable services have been purchased or confirmed.
Only the correction of minor errors in personal details may be requested, when the procedures and provisions of the corresponding authority allow it, including certain typographical errors or updates due to a passport renewal or loss.
Any correction will be subject to evaluation and approval by the competent authority and does not imply a change to the date, holder or conditions of the permit.
8.5. Salkantay, Choquequirao and other multi-day treks
Multi-day treks may include transportation, accommodation, meals, entrance tickets, permits, guides, equipment and other services booked in advance.
For this reason, any change will be subject to availability and to the conditions set by the corresponding suppliers.
In the case of the Salkantay Trek, when the booked program includes Machu Picchu entrance tickets, trains or other services subject to advance reservation, the change conditions for those components will be those set out in the corresponding sections of these Terms and Conditions.
In particular, when the service includes a Machu Picchu entrance ticket that has already been purchased, the date, traveler name, circuit or any other information associated with that ticket cannot be changed if the competent authority does not allow it.
Sakura Expedition will inform the customer of any additional cost before making an authorized change.
8.6. Trips and tours in Peru operated by partner suppliers
Sakura Expedition also offers experiences, tours, circuits and trips to various destinations in Peru that may be operated, fully or partially, by tour operators, companies, suppliers and other service providers partnered with Sakura Expedition.
In these cases, Sakura Expedition will handle the coordination, sale and management of the booking, while certain services will be delivered by the corresponding supplier, according to the specific conditions of each experience.
Due to this operating model, any change, modification, rescheduling, cancellation or special request related to these services will be subject to the availability, conditions, policies and procedures of the responsible supplier or operator.
8.7. Services that cannot be changed or canceled due to their nature
Regardless of the type of experience booked, when a booking includes services purchased in advance that, by order of the competent authority or under the supplier’s conditions, are non-changeable, non-transferable or non-refundable, those components cannot be canceled, transferred or changed at the customer’s request.
This condition may apply, among others, to:
- Inca Trail permits.
- Machu Picchu entrance tickets.
- Train tickets subject to restrictive conditions.
- Accommodation bookings with non-refundable rates.
- Other services expressly confirmed under non-refundable conditions.
In these cases, if the customer requests to cancel the experience, the amounts corresponding to services already purchased and non-recoverable will be deducted from any amount to be refunded, according to the applicable cancellation policy.
When all the paid components are non-refundable, no refund will apply.
The specific conditions of each service will be communicated to the customer during the booking process.
9. Cancellations requested by the customer
Cancellation requests must be sent in writing to ventas@sakuraexpedition.com.
The date used to determine the penalty will be the date and time Sakura Expedition receives the cancellation request. For services without special cancellation conditions set by authorities or suppliers, the following general policy will apply:
The percentages above refer to the penalty applied to the total value of the service and may vary when the booking includes components subject to specific cancellation, change or refund conditions.
9.1. Services with non-refundable components
When the booking includes entrance tickets, permits, train tickets, accommodation, transportation or other services purchased in advance, the value of any components that cannot be canceled or refunded by the corresponding supplier will be deducted from the amount to be refunded.
Therefore, the refund percentage shown in the table above does not guarantee a fixed refund when non-refundable services have already been purchased.
For example, if a customer cancels a service within the period in which a refund applies, but Sakura Expedition has already purchased non-refundable entrance tickets, permits, tickets or reservations, the cost of those services will be deducted from the refund amount.
9.2. Inca Trail, Machu Picchu and services with non-refundable advance reservations
Inca Trail bookings, services that include Machu Picchu entrance tickets and any other experience whose components were purchased under non-refundable conditions are subject to the specific conditions communicated to the customer before the booking is confirmed.
Once the non-refundable permits, entrance tickets or services have been purchased, a cancellation voluntarily requested by the customer will not entitle them to a refund of the amount corresponding to those services.
When the entire amount paid corresponds to non-refundable services, no refund will apply.
When only part of the services is non-refundable, Sakura Expedition will calculate the refund based on the amount that can actually be recovered, deducting non-recoverable costs and applying, where applicable, the penalty set out in the general cancellation policy.
9.3. Specific supplier conditions
For trips and experiences operated fully or partially by partner suppliers, cancellations will be subject to the conditions set by each supplier.
Sakura Expedition will process the cancellation request with the corresponding supplier and inform the customer of the outcome.
When a supplier does not issue any refund for a service already purchased, Sakura Expedition will be unable to refund the customer the amount corresponding to that service.
9.4. Cancellation requests and services already started
Once the service has started, the customer’s voluntary decision to leave, interrupt or not use part of the booked experience will not automatically entitle them to a refund for unused services.
Exceptional cases will be evaluated according to the circumstances, supplier conditions and applicable legislation.
10. Refunds
When a refund applies, Sakura Expedition will process it according to the policy applicable to the service. Whenever technically possible, the refund will be made using the same payment method used by the customer.
The time it takes for the amount to appear in the customer’s account may depend on the bank, card, payment platform or financial operator used.
Fees charged by payment platforms or financial institutions may be taken into account when they cannot be recovered by Sakura Expedition.
No refunds will be made for services the customer voluntarily did not use, when they decided not to take part after the service had started or been confirmed, unless the specific conditions state otherwise.
11. No-show and punctuality
The customer must arrive at the place and time indicated in their booking confirmation.
A no-show is considered to be the customer’s failure to appear at the established meeting or pick-up point, without prior notice or express arrangement with Sakura Expedition.
In the event of a no-show, the service may be considered used and no refund will apply.
For operational reasons, we recommend that customers be ready at the pick-up point in advance, as indicated.
12. Changes made by Sakura Expedition
Sakura Expedition may make reasonable changes to the itinerary when necessary to protect travelers’ safety, comply with orders from authorities, or respond to weather conditions, operational restrictions, service availability or other circumstances that may affect the normal course of the trip.
Whenever possible, the customer will be informed in advance. Any changes will aim to preserve the essence and quality of the booked experience.
When a change involves the substantial replacement of a service or significantly affects the booked service, Sakura Expedition will evaluate the available alternatives according to the circumstances and applicable regulations.
13. Weather, force majeure and extraordinary circumstances
Some tourism activities take place in natural environments and are subject to conditions that Sakura Expedition cannot control.
These may include heavy rain, landslides, rockfalls, river flooding, route closures, strikes, protests, restrictions by authorities, accidents or other extraordinary circumstances beyond Sakura Expedition’s reasonable control.
When such circumstances make it necessary to change, suspend or cancel an activity, travelers’ safety will be the priority and we will seek to offer the most suitable available alternative. Refunds or compensation, when applicable, will be evaluated considering the services actually provided, non-recoverable costs and the conditions of the suppliers involved, without prejudice to the consumer’s rights under applicable law.
14. Health and physical condition
Some Sakura Expedition services involve long hikes, steep terrain, high altitude, and exposure to cold, rain, sun and other conditions typical of the natural environment of Cusco and the Andes.
Customers should assess their physical condition before booking an activity and report any circumstance that may be relevant to their safe participation. We recommend having travel insurance that covers medical emergencies, accidents, evacuation and other travel-related events.
Sakura Expedition does not generally require travel insurance; however, it is highly recommended.
15. Luggage and personal belongings
Customers are responsible for their personal belongings during the trip. Sakura Expedition recommends keeping documents, money, electronic devices, medication and valuables under personal supervision at all times.
When the service includes transportation, accommodation or other third-party services, the specific conditions of those suppliers may apply.
Sakura Expedition will not be liable for loss or damage caused by the customer’s own negligence or by circumstances beyond its control, without prejudice to any liability that may legally apply in each case.
16. Complaints and customer service
Sakura Expedition strives to provide proper assistance before, during and after the trip.

The above applies without limiting the consumer’s rights under current Peruvian law.
20. Applicable law
These Terms and Conditions will be interpreted in accordance with the laws in force in the Republic of Peru.
Any dispute related to the booked services will first be handled through Sakura Expedition’s customer service channels, without prejudice to the consumer’s right to turn to the authorities, conciliation mechanisms, the Complaints Book or other channels recognized by applicable law.
